How do I upload documents to the Employee Document area?

Overview
The isolved Employee Document screen provides the ability to store HR and Payroll related documents online that were previously held in a filing cabinet. Storing documents online can allow the employees, managers, and admin users access to documents while maintaining the appropriate level of security. Online documentation storage is acceptable for labor or tax audits.

Uploading Employee Documents

How does your company store important employee documents? Add each important document in the Employee Document area and the system will keep a record as well as a copy of the document for as long as you may need it. You may add or delete documents from this list at any time.
Navigate to Employee Management > Human Resources > Employee Documents to upload a document.

  • Select an employee from the Employee List.
  • Select the appropriate Document Type tab from the list below. There may be different document types for each:
    • Personnel
    • Payroll
    • Confidential PHI
    • Confidential Other
    • Signed Acknowledgements
    • Other
    • EE Uploads
  • Select Add New.
  • Subcategory: If you have subcategories set up in Client Management > HR Management > HR Administration > Document Subcategories, you are able to make a selection here. If not, or one is not needed, simply leave this selection blank.
  • Select the appropriate Document Type from the drop-down. Some categories may include:
    • Awards
    • Disciplinary
    • Electronic Consent
    • Employee Document
    • Employee I9
    • Employer I9
    • HR Documents
    • Employee I9 A, B and C
    • Recruiting/New Hire
    • Employee Tax Documents
  • Enter the Description (this description will appear on reports).
  • Click the Upload box to attach the document. A file size of 4 MB to 32 MB is allowed.
  • The Employee, Manager and Supervisor Access will be defaulted based on the Self-Service Roles defaults. If applicable, please change.
  • Certain types of Documents loaded by the system will not have the ability to change the defaults.

A list of all Employee Documents will be organized into categories at the top of the screen.

  • Click on the category at the top of the screen for the type of document you would like to view.
  • Click on the link under View Document to view the uploaded document.
  • Depending on the access assigned to the document, the employee, manager or supervisor may also have the View Document option.
Note: If you are using the isolved Onboarding feature, some of these documents will be uploaded and saved in isolved once the employee is selected and saved in the system.
