How do I set up access in the Employee Document Area?

Employee Self-Service

In order for Managers and Supervisors to be able to access all tabs, and to upload and edit on each of the tabs, the following “Role” and “Rule” must be set up and given to the appropriate parties. The same rule can be used for Client users.


The Role Name is mandatory, but the appropriate name for your Service Bureau can be selected.

The “Full Access” rules attached to the role should include:

  • Menu Item EE Human Resources
  • Menu Item Employee Management
  • Access EE Employee Documents

 

Once this role is set up, navigate to Client Management > Client Utilities > Self Service Roles. Add the role to the Manager or Supervisor access, as necessary.

Reporting
Go to Reporting > Client Reports and select the HR report category, or search for the name of the report or a description.

  • Choose the “Employee Documents on File” report to view a list of employee documents within the date range.

This report is a “Date Range” report. Therefore, you can filter the report by dates, legal company, Pay Groups, organizations or employee.

You may also sort the report into three levels, group the report by document type or employee name, and select either a PDF or Excel format.

Once your options are selected, click on Generate Report.

When you are ready to view or print the report, go to My Reports Queue.

Your report will be available in your Reports Queue for 72 hours.

Partner Only Setup

Partners need to add the document types at the system level by going to System Management > System Setup > Employee Document Types and following the below steps:

  1. Click Add New
  2. Enter a Description
  3. Select a Default Employee Access
    • Full Access
    • Not Permitted
    • Read Only
  4. Select a Default Manager Access
    • Full Access
    • Not Permitted
    • Read Only
  5. Select a Default Supervisor Access
    • Full Access
    • Not Permitted
    • Read Only
  6. Select a Document Category
    • Confidential PHI
    • Confidential-Other
    • I-9
    • Other
    • Payroll
    • Personnel
    • Signed Acknowledgements 
  7. Click Save
